HujiMail

HujiMail is a Gmail email address with a university UPN. HujiMail is for the use of students, graduates, university staff and pensioners.

The service is provided by Google and it is subject to changes of their terms of service.

All official university correspondences and general messages from the student administration and class secretaries to students and academic faculty will be sent to this email address only.

The format of the email address is: PrivateName.familyName@mail.huji.ac.il.

Entering my HujiMail account

In light of the changes in Google's global policy that apply to all academic institutions, the policy of unlimited storage has ended. The limit on the HujiMail accounts is now 25 GB for students and alumni and 250 GB for staff.  You can use the following guide to reduce the storage volume of your account.

 

Opening an Account

Students - Email accounts are automatically created for all students admitted to the university. After graduation, the account will be maintained according to the agreements with Google. (Students who discontinue their studies without completing a degree will have their accounts closed)

The details of the account, user name and initial password, are sent to your private Email and appear in the personal information website.

Details of the account will also be sent to the email address which was used during registration.

Academic staff- HujiMail accounts are opened automatically for new academic staff.  Opening an account is possible also in the open account website.

Alumni- For those who earned a degree, the account will continue to be active according to the agreements with Google. Alumni from early years can click here to open an account. To open account they will need to first register in  the alumni website in order to obtain a personal code.

Academic Pensioners: Accounts will remain active upon retirement.

Administrative Pensioners can open an account close to their retirement date. Instructions for opening and account and migration of Savion data can be found by clicking here.

 

Access to the Account

In order to log in to the account, enter the site: mail.huji.ac.il

When you log in for the first time, you will be asked to replace the initial password you received with a permanent password and you will be asked to answer a verification question that will be required if you forget your password. Write down these details.

Open and Access

Opening an account

Students- Email accounts will open automatically for all students enrolled in the university – old as new.

Account information, Username and initial password in appendix 1 in the payment book and in the personal information website [Students from the overseas students school who do not receive a payment book will receive the account information to the current email address].

 The remaining population eligible for the account can open an account here [Note for alumni – in order to receive a personal code, you must first register on the alumni website].

University retirees are eligible for a HujiMail account – opening instructions and transferring material on the website.

 

Accessing the Account

To login to your email account, go to: mail.huji.ac.il

On your first login you will be asked to change the initial password you received with a fixed password and you will be asked to answer a verification question which you will need if you forget the password – please write down these details.

 

Closing Accounts

Alumni and University pensioners HujiMail accounts will remain for life.

HujiMail accounts will be closed in the following cases:

  1. HujiMail accounts will be closed when students terminate their studies without completing a degree.
  2. Academic staff HujiMail accounts will close 3 years after termination of employment (prior to retirement) if they are not university graduates.
  3. Closing due to misuse of the account. In the event of a violation of one of Google’s or the university’s bylaws (such as the prohibition of Spam distribution), actions will be taken against the account holder

HujiMail, Usernames and Passwords

Username

Usernames are automatically created based on the user's English name.

  1. Format: FirstName.FamilyName
  2. Format for complex names (two first names/two surnames): FirstName-FirstName.FamilyName-FamilyName.
  3. If the name is already taken by someone else, digits will be added to the username.

If your username is incorrect due to a mistake in spelling in the university records or due to a change of name, you can request a username change by filling out the following form. A reply will be sent by email or phone.  Note that the new username will be based on the actual name you enter in the form.

The HujiMail username is sent by email to the user's private address upon its activation. To retrieve a forgotten username, students can contact the Personal Information website, and staff in certain cases can view it on the Personal Details Update website. In any other case, you should contact support directly.

You can authenticate using three options: a one-time code sent to your phone, a university email and its password, or authentication with an OTP card.

  1. Note! The new password must be at least eight characters long and include both numbers and English letters.
  2. If you were unable to reset the password through this website, you can personally go to one of the computer labs or the to support center at Mount Scopus and identify yourself with your ID card.

Change Password

There are two ways to a change password:

  1. Change a password through the following site
  2. Change while in the mailbox itself: Click on settings--> accounts--> change password

 

Two-Factor Authentication

Due to repeated attempts to breach this system, we require accounts to switch to two-factor authentication (password and a one-time code sent via email or SMS). To learn how to enable the authentication or change the settings click here.

Notes:

- On your first sign-in you will receive a code to your MailHuji account and cellphone.

- If you want to cancel 2FA, you can access the system again. From the second login onward, a code will be sent to the email you provided and to your phone.

Reducing Storage Space on a HujiMail Account

 

Tools to Reduce the Storage Volume of your HujiMail Account

In light of Google's policy change regarding academic institutions and the limitation of account storage for students and alumni to 25 GB, and for staff and labs to 250 GB, we are centralizing essential tools to check your account size, reduce mailbox size, and delete files from Google Drive and Google Photos.

Deleting Files

After using one of Google's tools to reduce mailbox size and after transferring the contents of the Drive and Photos to a personal Gmail account, you need delete these files and photos and finally check again if the volume has been reduced below the allowed limit. It is important to note that changes in size are not seen immediately, but only after 24 hours.

Deleting files from Google Photos

  1. Go to Google Photos from your PC
  2. Click on the selection icon (V sign) on the image or video. You can also mark all the photos at once under a certain date
  3. Click on the delete icon (trash can) on the top ot the page

It is important to delete the photos from the Trash as well, otherwise the space will not be reduced.

  • I am flying abroad and want to change the delivery of the code in two-factor authentication so that it goes to my private email instead of my phone. How do I do this? 
    Solution: Go to the website safemail.huji.ac.il, authenticate with your ID and HujiMail address, and then you can change the way you receive the code.

  • I changed my phone number and therefore cannot log in to the account. How do I change the number?
    Solution: If the number has changed, you need to contact us by phone at 025883450 or via WhatsApp at 0525886733 so that we can update the new phone number.

I received a message that my account will be closed. How do I transfer the contents of my HujiMail account to the new address?

Solution: For instructions on transfering your material click here. See instructions for forwarding new mail : Forwarding mail in HUJImail.  Since mail forwarding will only continue until the account is closed, it is recommended to also create an automatic message warning of the future closure and giving your new email address.  See instructions for creating an automatic reply.

Forgot password

Solution: Try to reset password on the password reset site. If you did not succeed:

  • Students - Go to one of the computer centers  and present your ID card
  • Alumni- Contact the Alumni association

 

My username has errors in spelling

Solution: Submit a request to the change username site.

 

I received an account closure notice. How do I forward my mail to the new address?

I made changes to the settings and they were not saved

Solution: After each change in settings scroll down to the bottom of the settings page and click the button: Save Changes

 

 I accidentally deleted a message - can I recover it?

Solution: Look for the message in the trash. If the message is also deleted from the trash it cannot be restored. Google recommends not deleting messages at all - the box's volume allows this.

HujiMail accounts of  university alumni and pensioners remain opened  for life.
HujiMail accounts will be closed in the following cases:
