New storage limit on HujiMail aacounts

 

Following discussions held in the university administration regarding Google's new policy for charging data usage by academic institutions worldwide, following are the new storage guidelines for faculty members at the Hebrew University:

The university administration has allocated a budget that covers up to 250GB for each faculty member's account and each lab account.

This policy, which involves a financial investment amounting to hundreds of thousands of shekels each year, will suffice for most of the accounts.

 Excess material that is not required must be removed from the account. Other alternatives are possible (unfortunately, all the suggested methods for transferring the material are complex).

Recommended alternatives that require university payment (by research grants or unit budgets only):

  1. Increasing the quota allocated for the account: each additional terabyte will cost $120 per academic year (the price and terms are subject to updates, according to the university's agreement with Google, which differs in terms from private accounts). This option is the most convenient alternative and does not require changes in usage except for increasing the storage limit. Registration and payment for increasing storage
  2. Transferring material to the scientific computing center’s storage in Safra at the cost of about $60 per year per terabyte (90$ for including backup). Differently from Google, the service is designed to support research and has advantages (fast network access to data processing) and limitations (a less convenient access to your data and limited sharing options).

Other alternatives:

 

Transferring personal material to a paid private Google account is appropriate for personal data, minding that organizational data should not be stored in private accounts.

Data could be transferred to a local disk, or to a cloud, which requires prior professional knowledge and a personal agreement with the inter-university computing center. We can assist you in extracting your data, but there is no support for implementing these alternatives.

 

Timeline: On the 2nd of February, a 250GB limit will be set for most of accounts. For those who has exeeded data: about 3 months of preparation are given to you in order to decide and act—please note that deletion/transfer/the process of opening an account take time. On 6.4.2025, a 250GB limit will be set for each account (personal or lab). Once the quota is set, it will not be possible to add more material to the account that exceeded 250 GB , unless the limit is increased by payment (alternative 1) or reached the required quota by deleting excess data.

Instructions for immediate action

Please delete excess material that is not needed. You can transfer it first to the scientific computing center and/or to an external disk or any other place.

Those who whish to increase the account’s storage, please register (and pay) promptly for the volume increase service For payment for the current year is $60 because it is a partial term. Starting October 2025, 120$ will be charged for each academic year.

The university administration is aware of the inconvenience the situation causes for all of you. It is important to note that we have done everything possible to minimize the technical difficulties, as well as budgetary costs.
